Alexi-Assistant Privacy Policy

Last updated: October 1, 2026

This policy explains what information the Alexi-Assistant app ("Alexi-Assistant", "we", "us") collects, why, where it goes, and the choices you have. Alexi-Assistant is provided by MY PRIME SQUAD LLC, 132 Elm Branch Rd, St Johns, FL 32259, USA. This policy is written for users in the United States.

1. The short version

2. Your responsibility when recording

Several US states (including California, Florida, Illinois, Maryland, Massachusetts, Pennsylvania and Washington) require everyone in a conversation to agree before it is recorded. Before you start recording, you must tell the other participants and get their consent where the law requires it. Alexi-Assistant is a tool; you are responsible for how you use it.

The app reminds you to get everyone's consent before each recording. You can choose "Don't remind me again", and turn the reminder back on in Settings → Recording.

3. What stays on your phone

DataWhat it's used for
Meeting audio recordingsPlayback, and sharing when you choose to share
Transcripts, summaries, action itemsViewing and searching your meetings. A copy of your transcripts is also kept on our server (see Section 4).
App settings and permission choicesRemembering your preferences
Face ID / fingerprintUnlocking the app. Alexi-Assistant never sees or stores your biometric data. Your phone's operating system handles it and only tells Alexi-Assistant "unlocked" or "not unlocked".

Speech recognition happens on your device:

4. What is sent to our server

To provide live transcription and speaker names, the app sends the following to our server while you record a meeting or set up voice recognition:

DataWhy
Short pieces of meeting audio (audio samples)Working out who is speaking (speaker separation). The audio is processed in memory and is not stored on our server.
Voice characteristics ("voice vectors") of each speaker in a live meeting: a numeric summary of how a voice soundsTelling speakers apart during that meeting. Held only in server memory for that meeting and never stored.
A 15-second sample of your voice, when you set up voice recognition (Settings → Voice Calibration)Turned into your voice profile (a voice vector), then discarded. The sample itself is not stored.
Your voice profileRecognising your own voice and labelling it "You". Stored on our server, linked to your device ID.
Text recognised on your phone, with timingsBuilding the live transcript. Stored on our server, linked to your device ID, as a backup of your transcripts. This text includes what other people in the meeting said.
Speaker names you type in, and attendee names from your calendar invite (only if you allow calendar access)Labelling speakers. Stored on our server with your transcripts, linked to your device ID. These are often other people's names.
A random device ID created by the appKeeping your data separate from other devices. It is not linked to your name or phone number.
App state (for example "app went to background") and device platform (iOS or Android)Keeping recordings reliable when you switch apps
Your IP address and request details (for example which feature was used and when, and sometimes your device ID)Logged by our server for security and troubleshooting, kept for 30 days

Voice vectors can count as biometric data under some US state laws (for example Illinois, Texas and Washington). We use them only to tell speakers apart within your meetings. We never use them to identify you to anyone else, and we never sell them. Vectors of the speakers in a live meeting are never stored. Your own voice profile is kept until you withdraw consent or delete your data, but never longer than 3 years after you last used the app. After that it is deleted automatically, as Illinois law requires.

Before Alexi-Assistant creates your voice profile, it asks for your consent in the app (Settings → Voice Calibration) and records when you agreed. You can withdraw consent at any time in Settings → Voice Calibration → Withdraw consent. This deletes your voice profile from your phone and from our server. The app only creates a voice profile for your own voice, never for other people.

Our server and database run on Amazon Web Services (AWS) in the United States (us-east-1, N. Virginia). Database backups are also kept on AWS in the same region. Data is sent over an encrypted connection (HTTPS), and the database and its backups are encrypted at rest.

5. Permissions Alexi-Assistant asks for

Every permission is optional. If you say no, only the related feature stops working.

PermissionUsed for
MicrophoneRecording meetings and setting up voice recognition
Speech recognition (iPhone)Turning speech into text on your phone
Calendar (read only)Suggesting attendee names for speakers
Face ID / fingerprintLocking the app
Notifications (Android)Showing that a recording is in progress. On iPhone this appears as a Live Activity on the Lock Screen and needs no permission.
iCloud Drive / Google DriveEncrypted backups to your own cloud account

You can change these at any time in your phone's Settings.

6. Cloud backup

If you turn on backup, Alexi-Assistant encrypts your meeting audio recordings, transcripts, summaries, action items and voice profile on your phone (AES-256) before saving them to your own iCloud Drive (iPhone) or Google Drive (Android).

The encryption key is stored in your phone's secure storage: iCloud Keychain on iPhone, Android Keystore on Android. On Android, so that you can restore on a new phone, a copy of the key is also kept in a hidden app folder in your own Google Drive. That means anyone who gets into your Google account could read your backups, so protect that account well.

We have no access to your backups or your key. Apple's and Google's own privacy policies apply to their storage services.

7. Who we share data with

We do not sell or rent your data, and we do not share it for advertising.

We only share data with:

You can delete your data yourself in Settings → Your Data → Delete my data. For other requests, please include your app's device ID (shown in Settings → Your Data), since there are no accounts and it's how we find your data. Contact us at dg-mobile-app-admins@myprimesquad.com. We'll reply within 45 days, as California law requires. If we refuse your request, you can appeal by replying to our answer.

You may also use an authorized agent to make a request on your behalf.

10. Security
